How to publish

We recommend contacting your library and enquiring about the possibility of using tokens (the number of tokens for each institution is limited) before submitting the article.

The actions necessary to apply the tokens are performed only after the article is accepted for publication.

We recommend that libraries confirm/reject the eligibility to use a token within five business days of being notified of a newly received article.

Eligibility of an article to use a token for free Open Access publication via the Research Dashboard (RD):

1. You receive an email with information about the acceptance of the article and the possibility of free OA publication:

2. The library is informed about a newly accepted article and confirms the eligibility of the article to use a token:

3. You receive an email with information about the confirmation of the eligibility of the article to use a token for free publication in OA mode:

4. You receive an email with a link to the APA:

5. You fill in the APA: :

  • You confirm the correctness of the metadata:

  • Ignore (skip by clicking on NEXT) the question about article funding:

  • Confirm authorship:

  • Select a licence (in accordance with Plan S we recommend the less restrictive CC BY):

  • Indicate whether the article is subject to permission from a third party:

  • Indicate, whether the article is subject to a conflict of interest:

  • Read and sign the APA - electronically or download the PDF - print it - sign it - scan it - upload it back:

6. The article is published Open Access in the selected title.

The eligibility of the article to use a token via the RD will be confirmed after the APA is signed (the author signs the APA and selects the OA publication method before confirming eligibility in the RD):

1. You received an email about the receipt of an article before, the article was confirmed in the RD:

2. You receive an email with a link to the APA, which must be filled in:

  • You confirm the correctness of the metadata:

  • Ignore (skip by clicking on NEXT) the question about article funding:

  • Confirm authorship:

  • Select the Open Access publication method:

  • You will be redirected to the Quotation Service, fill in the necessary data and confirm the Request Quote:

  • Fill in the required information and select your institution in the drop-down menu:

  • The system recognises your affiliation, confirm by clicking on NEXT:

  • Preview Your Quote - the displayed discount should be 100% and the Amount Payable EUR 0. Copy the Quote number. Accept:

  • Confirm YES for Gold Open Access and insert the Quote Number/ID in the relevant field:

  • Select a licence (in accordance with Plan S we recommend the less restrictive CC BY):

  • Read and sign the APA - electronically or download the PDF - print it - sign it - scan it - upload it back:

3. You receive an email with confirmation of the request to use a token:

4. The library receives an email requesting confirmation of the eligibility to use a token.

5a. The library confirms the eligibility of the article to use the token:

NOTE: If the library in point 5 rejects the eligibility of the article, you will receive an email about the rejection of the use of a token for free publication and a proposal about other funding possibilities:

5b. You receive an email about the receipt of the article and its eligibility for free publication:

6. The article is published Open Access in the selected title.
